Service Use Policies
To ensure high-quality service and project success, all users of the GBCF must follow the policies outlined below. These policies support transparency, data stewardship, and compliance with institutional and funding requirements.
Project Initiation & Payment
Payment Policy

Internal users: Charges are billed to the fund number provided in iLab at the time of request. Transactions are processed monthly.

External users: Full payment is due within 30 days of receiving an invoice. For more information regarding payment methods, please contact us at ndcores@nd.edu.
Service Level Agreements (External Users)
External users are required to sign a Service Level Agreement (SLA) before work begins. This agreement, approved by the Notre Dame Office of General Counsel, includes:

Conflict resolution procedures, in accordance with university recharge policy
Sample & Data Handling
Sample Storage Policy
The GBCF will store completed sequencing libraries for up to 3 months after project completion according to iLab.
Data Storage Policy

GBCF generated data: Raw data and intermediate analysis files for up to 30 days after project completion. Users are responsible for downloading and backing up data during this period.

External facility generated data: Subject to external facilities data management policies. The GBCF does not retain copies of data generated by external facilities. Please download your data promptly, verify all files upon download, and back up your data securely.
Data Transfer Policy
Data will be delivered via one of the following methods:

GBCF generated data: Center for Research Computing (CRC) storage with appropriate permissions via command line retrieval by end-user

External facility generated data: Subject to external facilities data management policies. Typically, a secure link or direct command-line download is provided
Project Support & Collaboration
Prioritization of Work
Projects are prioritized in the following order:

IU School of Medicine – South Bend

Indiana CTSI member institutions (IUPUI, IU Bloomington, Purdue)

Other academic institutions

Industry-sponsored or commercial clients
Publication & Acknowledgement
Publications or presentations resulting from GBCF services must acknowledge the Notre Dame Genomics & Bioinformatics Core Facility. Relevant services include:

Project design

Nucleic acid processing, QC, microarrays, sequencing, or library prep

Data analysis
Authorship is expected when GBCF staff contribute to method development or interpretation of results in a collaborative capacity.
Policies on Privacy & Disputes
Confidentiality Policy
All project-related data is confidential and owned by the investigator. The GBCF will not share data without written consent from the data owner.
Conflict Resolution
In the event of technician or equipment error leading to failed services, the GBCF will investigate and, if confirmed, repeat the service at no additional cost.
